Event Day Check-In and Registration

The Event Day Check-In tool provides real-time information to check in participants who have registered for your event or who have purchased merchandise. 

You can adjust what information appears when you look up a participant as well as enable Event Day Registration and process transactions. 

To use this tool, log in to your Event Director account, select your event. On the left-hand side, select Registration Data then Event Day Check-In.  

Admin

Under the Admin tab, you can choose what information you’d like displayed on the check-in screen, such as the participant’s team name, phone number, or any custom questions you had in place in your event.

On the Admin page, you can also enable volunteer access.

Clicking the “Allow Volunteer Access” slider will provide you with a volunteer access link. Once saved, this link will allow your volunteers to check in your participants by going to that URL, without having to give them access to your event director account. You can deactivate that link at any time, and you can set access to that link to expire at any time.

Event-Day Registration

You can enable event day registration under the Register tab. 

When you click the “Enable day of registration” slider, you’ll be provided with an “event day registration page URL,” as well as a QR code which participants can use to access that page from their mobile devices.

On this page you’ll be able to specify when day-of registration will close, as well as add any applicable additional event day registration fee which will be added to the entry fee charged on that page.

You’ll also be able to enable cash payments which will allow registrants to enter their information, then pay with cash for their entry at the registration table. 

Check-In

With the Event Day Check-in tool, you can mark your participants as checked in to the event, mark any merchandise as picked up and assign bib numbers to your participants. 

You can search for participants by name, team, email address, bib number, or confirmation number but you can also use your device’s camera to scan a QR code the registrant was sent when they registered for the event.

Once you search for a participant, you will be able to see the selected data, including if all the waivers are signed. If the participant has not signed the waiver, you will be notified and an Email Waiver button will be available to use to send the waiver to the participant. The participant will receive an email requesting they sign the waiver. 

This tool also allows for dynamic bib assignment by entering the bib number into the “Bib” section and then clicking “Check In.”

You can use this tool to check in people who have registered online using a credit card or (if enabled) intend to pay for their event-day entry with cash.

If the registrant paid with cash, you’ll see a field you can use to enter the amount of payment they’re submitting as well as mark their entry as paid.

If the participant has already paid for their entry online, you’ll see a button to check them in. 

In both cases you’ll be able to assign them a bib number when you check them in.
